The Project Assistant in the Procurement Department is directly responsible for the timely placement of purchase orders and delivery of materials to meet regional/customer order requirements and maintain stock inventory levels within approved guidelines.

 

 

 

Responsibilities

 *ENTRY-LEVEL*

  • Review vendor provided order acknowledgements for accuracy of information including complete description of items, delivery lead time, material quantities, expected pricing, etc.
  • Ensure timely receipt of vendor offers so as to obtain material by the due date
  • Facilitate communication with vendor to provide PO number to confirm order placement
  • Maintain vendor scorecard to accurately represent Rogers’ customer satisfaction rating
  • Updating internal system with expected dates, notes, and appropriate work order status to properly notify involved parties of material availability
  • Reconcile purchase orders and invoices
  • Daily reporting to analyze previous day’s activity
  • Daily reporting to confirm existing procurement work orders are on track to be executed in accordance with normal processes and procedures
  • Monitoring price increases and communicating changes as necessary
  • Investigating and determining what/how/ why material came in incorrectly or damaged (for non conformances)
  • Internal interfacing with regional dispatchers/managers, project managers, and other procurement team members
  • External interfacing with vendors (maintaining vendor relationships)

 

Qualifications

  • Associates Degree; or 3 years of previous project/procurement assistant experience or equivalent
  • Ability to communicate both verbally and through writing in a professional,
  • courteous and knowledgeable manner
  • Capability to work well in a team setting
  • Ability to multitask
  • Capacity to prioritize tasks according to deadlines and urgency and complete them in a timely and professional manner
  • Ability to browse the internet and use the internal systems and websites as it relates to the procurement department
  • Ability to create, edit and analyze data using MS Office Suite, especially Excel
  • spreadsheets, Word documents, PDF files and Power Point presentations
  • Ability to create, navigate, search and update Rogers Electric’s systems (work orders, reports, quotes, invoices etc, emails)
  • Ability to use office equipment (i.e., fax, phone, scanner, copier, mail)
